Still coaching clients from Google Sheets?
Keep what spreadsheets are good at, writing a program for each client, and drop what they’re bad at: getting clients to fill them in. The MyRepsCount Trainer Portal puts each client’s program in a free phone app and shows you what they actually did. It’s free, with no client limit.
Where a spreadsheet stops working
Sheets are great for planning. They get harder once clients have to use them on the gym floor.
- Clients don’t fill it in. Tiny cells on a phone between sets, so the “actual” columns stay empty and you’re guessing.
- One sheet per client adds up. Change a block and you’re editing a stack of copies, then opening each one to see who trained.
- Nothing puts it in front of them. A spreadsheet doesn’t show today’s workout on anyone’s phone home screen.
- Sharing gets messy. Every client has edit access to their sheet, and one stray paste can wipe a week of your plan.
- Group scores need chasing. Someone has to collect everyone’s result and type it in.
Google Sheets vs. the free Trainer Portal
Both are free. The difference is who does the typing, and whether it gets done.
| Feature | Google Sheets | Trainer Portal + app |
|---|---|---|
| Price | Free | Free, with no client limit |
| A different program for each client | One sheet per client | Yes, each client has their own program you edit any time |
| Multi-week programs | Yes, by copying rows | Week-by-week builder with optional auto-progress |
| Give 20 clients the same program | 20 copies to keep in sync | Assign it once; each client gets their own copy to adjust |
| Change a program mid-block | Edit the sheet; the client may not notice | Edit their copy, then push it to their app |
| What clients use | A spreadsheet on their phone | The free MyRepsCount app on iPhone or Android |
| Today’s workout on the client’s home screen | No | Yes |
| Planned vs. actual for every set | If the client types it in | Yes, logged as they train |
| Effort rating after every workout | If you add a column | Yes, every time |
| Reps counted for the client | No | In single workouts, by the phone camera |
| See who skipped this week | Open every sheet | One dashboard |
| Group and team workouts | A tab you fill in by hand | Send to the group; camera-counted AMRAP and Tabata scores come back ranked |
Where a spreadsheet is still better
We make the Trainer Portal, so here’s the part most comparison pages leave out.
- Total control. Any column, any layout, any formula. The portal is a set format.
- It tracks anything. Nutrition, bodyweight, check-ins, habits. The portal is training only.
- Nothing to install. Clients just open a link. With the portal, they install the free app first.
- You can start today. The portal is request-access while we onboard coaches personally.
How to switch
- Request access. We’ll send your invite code, usually within 2 business days.
- Rebuild your programs. There’s no spreadsheet import yet. Build each program once, then assign it and adjust each client’s copy.
- Invite your clients. One link opens the free MyRepsCount app on their phone and connects them to you. Here’s what they see.
- Watch the sets come in. Planned vs. actual, effort ratings and notes for every client on one dashboard.

Questions
Is the Trainer Portal really free?
Yes. It’s free for trainers, coaches and gyms, with no limit on clients, and your clients use the free MyRepsCount app. Coaches bring their clients to the app, and that’s how the app grows.
Can I import my spreadsheets?
Not yet. You rebuild each program in the program builder. Once a program exists you can assign it to as many clients as you like, and each one gets their own copy to adjust.
Can I keep using a spreadsheet for some things?
Of course. Plenty of coaches keep a sheet for their own planning, nutrition or check-ins, and use the portal for the training their clients see and log.
Do my clients have to use the camera?
No. You choose per workout: clients log their own reps and weight, or the app counts reps with the phone camera. No video is recorded or uploaded.
How do I get access?
Request access on the Trainer Portal page. We’re onboarding coaches personally while the portal grows and usually send your invite code within 2 business days.
